Terms of Service

These terms are the agreement between you and the administrator of moderators.io for using Moderators. You pay monthly or yearly, you can cancel at any time, your interview data stays yours, and you invite your own participants. Effective October 31, 2026.

Who these terms cover

By creating an account or using the service, you agree to these terms. If you use Moderators for an organization, you confirm that you can bind it. "We" and "us" mean the administrator of moderators.io. Contact is [email protected].

What the service does

Moderators lets you write what you want to learn, share an interview link, have an AI moderator run text or voice interviews with the people you invite, and read findings with quotes. The service is provided on a subscription basis. Plans, limits and prices are listed on the pricing page and the features are described on the features page.

Your account

Keep your sign in details private. You are responsible for what happens under your account, including the seats you add. Tell us at once at [email protected] if you think someone else has access. Give accurate information when you sign up.

Subscriptions

Paid plans are billed monthly or yearly, in advance, in US dollars. The annual price is shown as a monthly figure and charged for the year. Prices on the pricing page at the time you subscribe apply to your term. If we change a price, the change applies from your next renewal and we tell you before it does.

Limits in a billing period

Each plan includes a number of chat interviews, voice minutes and seats for the billing period. Usage that you do not consume in a period does not carry over, and a limit that has been used up does not come back until the next period. You can move to a higher plan when you need more.

Cancel at any time

You can cancel at any time from your account or by writing to [email protected]. Cancellation stops the next renewal. Access continues until the end of the period you have already paid for. We do not give refunds for periods already started, for unused limits or for partial periods.

Taxes and payment

Prices may exclude taxes that apply to you. Payments are handled by our payment processor. If a payment fails, we may pause new interviews until it is resolved, and we keep your research data available while you fix it.

You own your interview data

Interview guides, answers, recordings, transcripts, findings and quotes created through your account belong to you. You give us only the right to host and process them to provide the service to you. We do not use your interview data to train models and we do not sell it. The privacy policy explains how data is handled.

You invite the participants

Moderators does not supply respondents. You invite participants with your own link, and you decide whom to ask. You are responsible for having a lawful basis to contact them, for telling them that an AI moderator runs the conversation and that answers may be recorded and transcribed, and for any consent or notice your research requires. Do not collect data you do not need, and do not ask participants for sensitive data unless your research truly requires it and you have their agreement.

Export and deletion

You can export your guides, transcripts and findings while your account is active and for 30 days after cancellation. After that period, your research data is deleted from active systems.

What you agree not to do

  • Use the service for unlawful, deceptive or harassing interviews, or to pressure or mislead participants.
  • Collect payment card numbers, passwords, government identifiers or health records through interviews.
  • Upload or generate content that infringes the rights of others or that you do not have the right to use.
  • Try to break, probe or overload the service, bypass limits, or reverse engineer it.
  • Share your login with people outside your seat allowance or resell access without our written agreement.
  • Use output from the service to make automated decisions that have legal or similarly significant effects on a person without human review.

Our right to act

If use of the service breaks these rules or puts others at risk, we may remove content, pause interviews or suspend the account. Where it is reasonable, we tell you first and give you the chance to fix the problem.

How findings should be used

The AI moderator and the findings it writes are produced by software. Findings can contain mistakes, miss nuance or reflect how a participant happened to answer. Check important conclusions against the transcript and the quotes before you rely on them. Decisions you make from the findings are yours.

Availability

We work to keep Moderators available, but we do not promise it will run without interruption or error. Plans that include an SLA are covered by the commitments stated for that plan. We may improve, change or retire features, and we will not remove a core feature of a plan you have paid for during your current period.

Our materials

The Moderators website, software, design and name belong to us. We give you a limited right to use the service for your own research while you have an active subscription. Feedback you send us may be used to improve the service without obligation to you.

Warranties and liability

The service is provided as is and as available, without promises beyond those in these terms. To the extent the law allows, we are not liable for indirect or consequential loss, lost profit, lost data that you could have exported, or decisions made from findings. Our total liability for any claim is limited to the amount you paid us for the service in the three months before the event that gave rise to the claim. Nothing here limits liability that cannot be limited by law.

Ending the agreement

You may stop using the service at any time. We may end or suspend an account for a serious or repeated breach of these terms, with notice where practical. Sections that by their nature should continue, including data ownership, payment obligations already due and liability limits, continue after the agreement ends.

Changes and questions

We may update these terms. When a change matters, we change the effective date above and email account holders. Continued use after the change means you accept it. Disagreements are first handled by good faith discussion through [email protected], and these terms are governed by the law that applies to the administrator of moderators.io.
